Lead generation for bookkeeping firms

    Updated: 5 October 2026

Newlead does lead generation for bookkeeping firms with done-for-you cold email. We build a verified list of owners at small and mid-sized businesses in your niche, write and send the emails, and our team handles every reply. Each interested prospect lands in your Slack with name, company, email and phone number.

Made for owner-led firms without a sales team, so you only spend time on prospects who want to talk.

    What results look like

These numbers are from Newlead's own outbound, campaigns we run to win our own clients, not bookkeeping client results or a forecast. Full data: cold email benchmarks 2026.

    • 371,590 emails sent with a 0.62% bounce rate.
    • 1.89% reply rate, counted as unique human replies divided by unique people contacted.
    • 202 people contacted per opportunity (a reply that turns into a live sales conversation).
    • 60% of replies came from the first email in our largest campaign.

Niche, offer and market drive your results.

Results for accounting and bookkeeping clients. From January to September 2026, campaigns we ran for five accounting, bookkeeping and outsourced finance firms in Sweden got replies from 10.70% of the 102,187 people contacted. For five such firms in the US, the figure was 0.93% of 115,354. One Swedish client, Luca, got 249 leads from about 48,900 cold emails between June 2025 and June 2026, and those leads brought about $685,000 in revenue. That is one client's result, not a forecast. How do bookkeeping firms get clients?

Most firms grow on referrals. These are the usual channels to add when referrals are not enough.

Which businesses should a bookkeeping firm target, and when?

Usually the owner decides. The office manager who keeps the books today, and the outside CPA, can sway it. Good moments to reach them:

    • Books months behind, or a messy last tax season.
    • Outgrowing a part-time bookkeeper or a spreadsheet.
    • A new entity, location or state.
    • A job post for a bookkeeper, a cue to offer outsourcing.
    • Raising capital, when investors want clean numbers.

Public data shows new companies and job posts, so a list can target them. The rest are angles for the email.

Owners think about their books most at year-end and before filing, so aim for Q4 and January. Warm-up takes 14 days, so start setup by early fall. Tax dates: lead generation for accounting and CPA firms.

What should the first email offer?

A small first job with a clear end. It is easier to say yes to than switching bookkeepers.

    OfferWhat the owner getsFits best
    CleanupErrors fixed, accounts reconciledMessy books
Catch-upMissing months enteredOwners who fell behind

Monthly packageOngoing bookkeeping for a set feeCurrent, growing businesses

We test offers against each other and keep the one that gets more interested replies.

How does a referral partner campaign work?

It runs beside your owner campaign and emails firms that serve your ideal clients but do not keep their books.

We have emailed 33,348 accounting firms in the US, UK and Sweden to win Newlead's own clients, so we know how crowded their inboxes are. That describes our outreach, not your results (cold email benchmarks). See also lead generation for fractional CFOs.

What does a delivered lead look like?

Our team reads every reply. Interested prospects go straight to your Slack.

    Example, placeholder values

    New interested lead

    Name: [First and last name]

    Company: [Company name]

    Email: [Work email]

    Phone: [Phone number]

No sales hire or CRM needed. Call back while the conversation is fresh. Prefer booked meetings? Our B2B appointment setting services are an add-on.

How many leads can a bookkeeping firm expect?

Three things decide how many leads a campaign produces.

    • How many businesses fit. One city gives a smaller list than a whole country.
    • The offer. A specific first job usually beats a general pitch.
    • The market. In our own outbound, reply rates were 1.40% in the US, 2.34% in the UK and 6.10% in Sweden (cold email benchmarks).

A typical setup is 4-6 sending domains, 100-250 inboxes at about 4 untracked plain-text emails each a day and lists of up to 10,000 contacts, sized to your market and capacity.

Why not hire a salesperson or buy leads?

    • A salesperson costs a salary from day one, before any results, and needs managing.
    • Bought leads usually come from a web form. Ask whether the same lead is sold to other firms.
    • Other agencies often sell booked meetings. Ask how they count leads and where they send from.

With Newlead there is no salary to carry, and every lead replied to your own offer.

Newlead is a B2B lead generation agency in Eskilstuna, Sweden, founded in January 2025. More on our cold email agency work and the industries we work with, including B2B lead generation for financial services firms.

Is it legal to cold email business owners?

Yes in the US and UK, within the rules. Last checked 3 October 2026:

    • US. CAN-SPAM covers B2B email but needs no prior consent. It requires truthful headers and subject lines, a postal address and opt-outs honored within 10 business days, among other rules. You stay liable when an agency sends for you (FTC).
    • UK. PECR lets you email companies and LLPs without consent, but sole traders and some partnerships need consent or a soft opt-in, so UK campaigns target companies. UK GDPR also applies, and the guidance is under review (ICO).
    • Enrolled agents and CPAs. If they solicit IRS work for your firm, Circular 230 also applies (31 CFR 10.30). See lead generation for accounting and CPA firms.
    • Opt-outs. Any opt-out or "not interested" reply stops the sequence, and the person goes on a blocklist and is never contacted again.

This is not legal advice. Full guide: is cold email legal.

    What this costs

Newlead does not publish prices. Scope depends on how many businesses fit your niche, whether you add a partner campaign, the sending setup that volume needs and whether you add meeting booking.

Bookkeeping fees recur every month, so weigh the cost against what a client is worth over the whole time they stay.

We scope it on the discovery call. Or choose our one-time implementation: we build the outbound system and you own it. Market ranges: what B2B lead generation costs.

    Who this is for

    • Bookkeeping firms with room for new monthly clients.
    • Owner-led firms without a salesperson.
    • Firms with a clear focus, such as an industry, software platform or region.
    • Teams that can call a new lead back within a day.
    • Firms serving businesses in the US or the UK.

    Who this is not for

    • Firms whose main market is UK sole traders, who must consent before being emailed.
    • Firms whose clients are individuals, not businesses.
    • Firms that want LinkedIn outreach, cold calling or ads run for them.

    Common questions

How do bookkeepers get clients without referrals?

By adding a channel they control. Referrals are great, but you cannot turn them up when you have capacity. Cold email to business owners in your niche, plus a partner campaign to CPA firms and fractional CFOs, gives you a source you can turn up or down.

Does cold email work for bookkeeping firms?

Yes, when the offer is specific and the list fits. Owners tend to reply to a concrete fix, like books that are months behind, more than to a general pitch. Results depend on market and offer. In our own outbound, reply rates ranged from 1.40% in the US to 6.10% in Sweden.

Should we target business owners or CPA firms?

Both, as two separate campaigns. Owners at small and mid-sized businesses become clients directly. CPA firms and fractional CFOs that do not offer monthly bookkeeping can refer clients, sometimes more than once. Start with owners if you need clients soon, then add partners.

How long until we get the first leads?

Plan for 14 days of setup before the first emails go out, mostly warm-up for new sending domains and inboxes. Each contact then gets up to four emails over about three weeks. In the largest campaign of our own outbound, 60% of replies came from the first email.

Do we need a salesperson to handle the leads?

No. Our team handles every reply, so only interested prospects reach you, in Slack with name, company, email and phone number. The owner or anyone on your team can call them back. Meetings booked into your calendar are an optional add-on.
